A process built for accounting firms

Automation is nothing without process. We’ve honed one to make sure you always see strong ROI for your time and budget, and you’re never left waiting long for it.

We create a priority roadmap in a thirty-day audit, and automate in sprints so two weeks never go by without meaningful progress. Finally, our process doesn’t end until your team adopts, using automation in practice.

Stage 1: AUDIT

There are usually plenty of things an accounting firm could automate. But the cost and reward of each will vary wildly. Our 30-day Efficiency Audit helps you to know what should happen first and what can wait, so you get the most bang for your buck.

What we do, together

We align on business outcomes with you during a discovery call: The pain points you’d like to vanish. The goals you’d like to get to. Then we dig into the details.

What we do on your behalf

We identify each process and automation opportunity in up to three end-to-end workflows:

  • Mapping the individual steps, how much time they take, which applications are involved and where work gets stuck.
  • Considering opportunities to remove or automate parts of the process (without simply suggesting you should automate everything).
  • We assess potential effort versus potential value, and where it’s better to build versus buy.

What you get from the audit

You’ll receive an actionable roadmap for what to automate and what to prioritize:

  • A description of each current workflow vs the future state and the time saved.
  • A quantification of the effort involved to automate each process (“points” you can spend with us, based on your retainer)
  • An understanding of sequencing, technical viability and open questions surrounding each automation

Before you commit…

We help you decide if the Opzer way is the best opportunity for you. We do this in a 45-minute call about your firm and where operations aren’t serving you best. You don’t need to arrive with a technical specification.

Stage 2: AUTOMATE

We work progressively in two-week sprints

Based on priorities established during the audit. We don’t disappear for six months to build every end-to-end automation at once.

Improvements reach your team while our wider work continues. And over time, the automations can add up to an end-to-end workflow.

We architect the optimal path

We keep existing applications where they do the job and favor solutions that can scale. Optimizing for the lowest long-term cost.

We keep everything secure at every juncture

We make sure security best practices are followed in every system, so critical data (or even non critical data) isn’t compromised.

Each sprint implements a defined priority

We build and test it, demo the results to you, then agree what should move to the front of the queue next.

You spend ‘points’ on deliverables

Every piece of work is scoped in terms of points, according to the effort and complexity involved. This is completed during our Efficiency Audit.

For example

A straightforward workflow – est. 10–20 pointsA signed engagement letter automatically saves to your tracker and triggers the right document requests.

A more involved automation – est. 20–50 pointsA client’s overdue QuickBooks invoice flags in your task system and pauses work until payment clears.

A larger custom build – est. 50–100+ pointsA dashboard brings profitability by client, team capacity and realization rates into one view.

Points can be spent on anything we’ve scoped:

Automations, AI agents, integrations, dashboards or (on our Fractional tier) custom internal tools and apps.

The points give you a simple way to see how large a piece of work is, and how much you can reasonably fit into an upcoming sprint. Your points per month will depend on your engagement tier (more on that just below).

Stage 3: ADOPT

A working automation isn’t finished until people are using it. We monitor usage and train your team to understand each new process. We stay involved until automation becomes part of the firm’s everyday work, and we can prove the capacity, saved costs and value you’ve gained.

Our adoption support can include…

  • Monitoring the automations and agents we’ve built
  • Training, support when questions arise, as well as documentation and SOPs.
  • Adjustments as real-world use exposes things worth improving.

For instance, at Core Group, Opzer stayed available to team members who were less comfortable changing established processes. Over time, seeing automation work inside their own firm changed the team’s attitudes and expectations for the better.

The impact we prove tends to include:

  • More capacity
  • Better margins
  • Happier clients
  • Fewer fires

Tiers of engagement

We offer three tiers of engagement each with its own implementation capacity, delivery speed, and support level. Some firms mainly need Opzer to execute a roadmap they already understand. Others want Opzer’s wider support and strategic involvement from audit through to adoption.

The team behind you

Your Opzer team brings together three different roles so strategy and technical implementation are connected at every stage, from audit to automation and adoption.

AI Strategist

Helps choose the right “what”.

Your strategist brings accounting and tax-firm context to the project, helps determine what should be prioritized and acts as your main point of contact.

Technical Project Manager

Works out the “how”.

They translate priorities into a delivery approach, coordinate implementation and make sure the work keeps moving.

AI Engineer

Builds the “what” according to the “how”.

Your engineer works behind the scenes to build and maintain solutions to make your workflow run like clockwork, but faster.

Ongoing support: a few more details

Once your main roadmap has been delivered, you can reduce your implementation capacity with us or move onto lighter post-launch support.

We’ll continue to monitor, tracking real usage, if a workflow isn’t being used or it breaks down, we’ll fix it before you notice:

  • Break-fix support
  • Minor adjustments
  • Periodic system health checks

And if another worthwhile automation opportunity appears later, we already know your systems and how your firm works.

FAQs

A point represents $100 of implementation capacity. We estimate each deliverable in points according to the effort involved, giving you a consistent way to understand how much work can fit within your plan.

A relatively straightforward workflow might use only a small number of points. A more involved automation, custom application or reporting dashboard will use more.

A client signs an engagement letter → it auto-saves to your tracker and triggers a document request checklist (Low build).

A client’s invoice goes overdue in QuickBooks → they’re flagged in your task system and work pauses until payment clears (Medium build).

You need a dashboard showing profitability by client, team capacity, and realization rates, all in one view (High build).

Over time, these deliverables stack to form fully streamlined, end-to-end workflows.

The main differences are implementation capacity, delivery speed, support and senior-level involvement.

AI Adoption is for firms that want to DIY with AI tools, with our guidance on AI governance, security and staying current with the latest developments.

Performance adds more strategic guidance and proactive prioritization.

Fractional AI Officer gives you a more embedded senior relationship and broader AI guidance and training. It can also include strategic services, such as tech stack optimization and profitability dashboards.

On average, within each tier we can deliver:

  • 2-3 solutions/month on Performance
  • 3-5 solutions/month on Fractional AI Officer

The exact number of solutions depends on their complexity. AI Adoption doesn’t include builds from our team: you build with AI tools, supported by weekly calls and monthly group office hours.

We can talk through which tier of engagement would suit your firm best on a discovery call.

Optimizing a complete end-to-end workflow, such as month-end or tax prep, typically takes:

  • ~6 months on the Performance tier
  • ~4 months on the Fractional AI Officer tier

On AI Adoption, your team builds with AI tools using our guidance, so timing depends on your own team’s capacity.

Faster tiers deliver results significantly sooner, in some cases cutting total project time in half.

We specialize in custom automation for bookkeeping workflows, tax preparation processes, client onboarding, document management, and financial reporting for accounting firms.

Not necessarily. We work with your existing systems whenever possible and only recommend changes when there’s clear ROI.

Sometimes the biggest opportunity is simply getting the applications you already pay for to work together in an automated way.

We work inside your accounts as a permission-scoped user so we can configure and run automations. It’s exactly like you’re adding us as another member of your team.

No data storage on our side: Because everything runs in your environment, nothing is copied to or retained on our servers.

You keep full ownership and control of both data and the finished automation assets. We don’t host or manage them after delivery.

Enterprise-grade stack: The platforms we use already serve and are vetted by large enterprises (e.g., SOC 2, ISO 27001 compliant).

Most firms see a 10–20% efficiency gain, with many achieving 20-40% improvements in process time. This translates to higher profitability per client and the capacity to take on more business without adding staff.

During our Audit stage, we assess the likely value before deciding what should be built.

No, our automations scale efficiently, not one-to-one with every added client, only for the shared work the system performs. If client volume doubles, for example, cost might only rise 20–30%.

We have a 3-month minimum on our monthly packages, but it’s likely you’ll want to stay longer. Most of our clients choose to stay with us 6–12 months because of the ongoing value.

If you only have a short-term need, ask us about our off-menu, individual sprint options.
